  1. The Studio W Commitment

    By purchasing a Pay-As-You-Go (PAYG) session, Class Bundle, or Monthly Membership, you agree to comply with our studio policies. Studio W provides a curated environment for wellbeing; we ask that all clients respect the space, the instructors, and their fellow practitioners.

  2. Pricing and Purchases

    PAYG & Class Bundles: All purchases are final. Sessions are non-refundable and non-transferable. Class Bundles carry an expiry date (refer to your purchase receipt); unused credits cannot be extended or refunded.

    Monthly Memberships: These are recurring payments collected via Autopay. Memberships are personal to the account holder and cannot be shared. Unused sessions cannot be rolled over into future months.

  3. Membership Cancellations & Terminations

    The Commitment Period: Our memberships (3-month or 12-month) require a minimum commitment as specified at the time of purchase.

    Notice Period: To cancel a rolling membership after the initial commitment period, we require 30 days’ written notice prior to your next billing date. Please email info@thestudiow.co.uk to initiate this.

    Termination by Studio W: We pride ourselves on being an inclusive, welcoming sanctuary. We reserve the absolute right to terminate a membership or refuse entry without refund if a client:

    • Acts inappropriately, abusively, or disrespectfully toward staff or other clients.
    • Breaches safety protocols or studio etiquette.
    • Fails to settle outstanding fees or late-cancellation charges.
  4. Booking & Cancellation Policy

    The 12-Hour Rule: Cancellations must be made via the Mindbody app or website at least 12 hours prior to the class start time.

    Late Cancellations & No-Shows:

    • PAYG/Bundle Holders: The session credit will be forfeited.
    • Monthly Members: The session credit will be deducted from your monthly allowance. We reserve the right to charge a late-cancellation fee (£10) or no-show fee (£15) to the card on file to manage our limited 7-reformer capacity.
  5. Latecomer & Safety Policy

    For your safety and out of respect for the class flow, latecomers will not be admitted once the session has commenced. This will be treated as a Late Cancellation.

    Grip Socks: For hygiene and safety, grip socks are mandatory for all Reformer sessions.

    Health: You must inform your instructor of any injuries or changes to your health (including pregnancy) before the session begins.

  6. Changes to Service

    Studio W reserves the right to make minor changes to the timetable, instructor line-up, or pricing with reasonable notice. In the event of a studio closure or class cancellation by us, your credit will be returned to your account.

Liability and Health waiver

When signing up for the first time – whether this is for a one off class or a 12-month membership – you will be asked to sign a liability waiver and complete a health questionnaire. The details of these can be found below. 

  1. Physical Activity Readiness
    I understand that Pilates (Reformer and Mat), Yoga, Barre, and associated fitness activities involve physical exertion and the use of specialised equipment. I represent and warrant that I am physically fit and have no medical condition that would prevent my full participation in these classes. I agree to keep Studio W informed of any changes to my health, including new injuries or pregnancy, prior to any session.
  1. Assumption of Risk
    I recognise that as with any physical activity, there is an inherent risk of injury. I voluntarily choose to participate and assume all risks, known or unknown, associated with my attendance. I understand that it is my responsibility to consult with a physician prior to and regarding my participation in classes at Studio W.
  1. Waiver of Liability 
    By signing this agreement, I, my heirs, and legal representatives, forever release, waive, discharge, and covenant not to sue Studio W, its owners, instructors, or employees for any injury, loss, or damage to my person or property, whether caused by negligence or otherwise, while on the studio premises or participating in any studio activity.
  1. Professional Instruction & Safety
    I agree to follow all instructions provided by Studio W staff. I understand that instructors may provide physical adjustments or “hands-on” cues to assist with my alignment and safety. If I am uncomfortable with physical touch, I will inform the instructor before the session begins. I agree to comply with the mandatory use of grip socks for all Reformer sessions for safety and hygiene.
  1. Personal Belongings
    I understand that Studio W is not responsible for the loss, theft, or damage of any personal property brought into the studio or left in the changing/storage areas.
  1. Emergency Medical Treatment
    In the event of an emergency, I authorise Studio W staff to seek medical treatment on my behalf if I am unable to do so, and I agree to be responsible for any costs incurred.
  1. General Health
    • Do you have any current injuries? (e.g., back, neck, knee, shoulder, or wrist issues). If yes, please provide brief details so we can prepare modifications for you.
    • Have you recently undergone any surgery? (Within the last 12 months).
    • Do you have any chronic medical conditions? (e.g., Heart conditions, high/low blood pressure, diabetes, epilepsy, or asthma).
    • Do you suffer from any joint or bone conditions? (e.g., Osteoarthritis, Osteoporosis, or hypermobility).
  2. Women’s Health
    • Are you currently pregnant or have you given birth in the last 6 months? (This is crucial for Reformer and Barre safety. If postpartum, please confirm if you have had your 6-week GP check-up).
  3. Experience & Goals
    • What is your experience level with Reformer Pilates? (Never tried it / A few sessions / Regular practitioner).
    • What are your main goals at Studio W? (e.g., Injury rehab, core strength, flexibility, mental wellbeing, or sports performance).
    • Is there anything else your instructor should know to help you feel comfortable in class?

Cancellation, no-show and latecomers policies

The 12-Hour Rule
At Studio W, we keep our class sizes small to ensure you receive the highest quality boutique instruction. Because we only have seven reformers per session, we operate a strict 12-hour cancellation policy to ensure everyone in our Stoughton community has a fair chance to book.

  • Early Cancellations (More than 12 hours’ notice): Your class credit will be automatically returned to your account to be used for a future booking.
  • Late Cancellations (Less than 12 hours’ notice):
    • Class Pack & PAYG Holders: The session credit will be forfeited.
    • Monthly Members: The session credit will be forfeited. In the event of repeated late cancellations, we reserve the right to apply a £10 fee to your card on file to protect our small class availability.

Note: All cancellations must be made via the Mindbody app or our website. We are unable to accept cancellations via social media or telephone.

Respecting the Studio W Community
A “No-Show” occurs when a spot is booked but the guest does not attend or cancel. This prevents another local neighbour from joining the flow.

  • Class Pack & PAYG Holders: If you do not attend a booked session, the class credit will be forfeited in full.
  • Monthly Members: The session credit will be forfeited. To maintain the sustainability of our boutique studio, we reserve the right to apply a £15 No-Show Fee which will be automatically charged to the card on file for repeated missed sessions not cancelled in advance.

To avoid these charges, please always cancel your spot as soon as you know you cannot attend, even if it is within the 12-hour window, as this allows us to notify the waitlist.

A Punctual Start
To maintain the sophisticated sanctuary of Studio W and for your own safety, we cannot admit latecomers into the studio once the class has commenced.

  • Why we do this: The first 5 minutes of our sessions are vital for warming up and setting the focus. Arriving late increases the risk of injury and disrupts the restorative environment for your fellow classmates.
  • Arrival: We kindly ask that you arrive 5–10 minutes before your scheduled start time. If you arrive after the doors have closed, your session will be treated as a “Late Cancel” and the credit will be forfeited.
